Office Manager

We are seeking an experienced Office Manager to oversee the efficient operation of our multi-venue event management company. The Office Manager will play a crucial role in onboarding and supervising event staff, assisting the directors to ensure seamless event execution, and maintaining facility properties. This position requires exceptional leadership, organizational, and communication skills to coordinate various departments and contribute to the company's overall success.

Overall Responsibilities:

Maintain and manage properties through a weekly schedule at multiple venues

Facilitate weekly staff meetings, addressing various issues as they arise

Reimburse team expenses and approve purchases for needed items at each venue

Update and maintain various software and documentation systems

Oversee process implementation and improvement

Assistant to Executive Directors 

 

Staffing:

Create job ads and pursue new staff through various means

Interview, hire, and train new employees

Conduct individual onboarding for all staff

Schedule event shifts using When I Work

Manage employee retention, probation, hiring, and firing

Oversee staff uniform execution and purchasing

Handle payroll for both venues and staff reviews with Venue Directors

Implement annual raises and bonuses as available

Collaborate with Office staff and event staff to resolve issues

 

Facility Maintenance:

Prioritize and resolve items on the Trello board

Coordinate with contractors and ensure permits/inspections are up-to-date

Review weekend reports with Venue Directors

Purchase inventory items across both facilities

Manage payments to contractors/vendors servicing venues

 

Inter-Department Coordination:

 

Sales:

Create and maintain P&L statements for profitability evaluations

Oversee Events Calendar and updates in Calendly for both venues

Collaborate with Marketing and Directors to identify and create upsell opportunities with external partners

 

Collaborate with the marketing department on marketing materials and promotions

Work with marketing to gather past event content as needed

Coordinate with the bar team for scheduling and purchasing

Liaise with LaRue & other caterers to ensure client satisfaction and address issues

 

Qualifications:

Bachelor's degree in business administration or related field preferred

Proven experience in office management or a similar role

Strong leadership and communication skills

Excellent organizational and problem-solving abilities

Proficiency in software such as Event Temple, Calendly, and Google Calendar

Knowledge of event management and customer service best practices

Ability to work independently and collaboratively in a fast-paced environment

 

Compensation:

$50K - $55K/yr / Based on experience

Eligible for medical insurance after 90 days of employment 

Flexible paid time off plan
